Therapy Policies and Procedures

Legal, Ethical and Clinical Standards

All therapy services provided through IDS are conducted in accordance with the highest standards of ethical, legal, and clinical care.

Therapy services are governed by

  • The AAMFT Code of Ethics (American Association for Marriage and Family Therapy)
  • The Nevada Revised Statutes (NRS) and Nevada Administrative Code (NAC) regulating Marriage and Family Therapists
  • Best clinical practices regarding confidentiality, informed consent, client recordkeeping, professional boundaries, and mandated reporting requirements.

Confidentiality and Client Privacy

All therapy services are confidential and protected under applicable privacy laws and clinical ethics standards. Confidentiality may only be broken if required by law, including cases involving suspected child abuse, elder abuse, imminent harm to self or others, or court order. Clients will be informed of the limits of confidentiality during intake.

HIPAA Compliance

As a mental health provider, we are fully compliant with the Health Insurance Portability and Accountability Act (HIPAA). This federal law mandates that we protect the privacy of your personal health information (PHI). We take all necessary steps to ensure that any sensitive data you share with us during therapy remains confidential.

We will never disclose your PHI without your explicit written consent, except as required by law. You can learn more about your rights under HIPAA through the U.S. Department of Health and Human Services.

Therapy services are distinct from coaching services offered at IDS. Coaching services are not governed by clinical standards.

Emergency Contact and Crisis Services

Therapy services provided through IDS are not a substitute for crisis intervention or emergency services.

We do not provide 24/7 crisis response, emergency mental health care, or real-time crisis management.

If you are experiencing a life-threatening emergency or urgent mental health crisis, please immediately contact:

  • 911 (Emergency Services)
  • 988 (Suicide and Crisis Lifeline) — Available 24/7 nationwide

Clients are encouraged to have an emergency plan in place and to utilize appropriate crisis resources when needed. If crisis needs arise during the course of therapy, appropriate referrals or recommendations will be provided.

Text Communications

Text messaging is reserved for brief, non-clinical communication such as scheduling or confirming appointments. I do not use text for therapeutic discussions, emotional support, or emergencies. If you’re experiencing a crisis, please call 911 or contact the Suicide & Crisis Lifeline at 988.

Thank you for respecting these boundaries, which help maintain a safe, focused, and ethical therapeutic relationship.

Privacy and Data Security

Your privacy is our priority. All information shared during sessions, including communications via email, phone, or virtual platforms, is protected. We use secure systems and technology to safeguard your data from unauthorized access. Please be aware that while we strive to maintain the highest level of security, no system is entirely foolproof, particularly with digital communications. If you have concerns about your data’s security, please inform us so we can discuss alternative options for communication.

Technology and Internet Connectivity Policy

While IDS strives to ensure a stable and high-quality online experience, occasional disruptions in internet service or platform connectivity may occur. If a session is interrupted due to technical issues (e.g., loss of internet connection, significant audio/video problems, or platform failure), the following procedures will apply:

  • Brief Disruptions (under 5 minutes): We will attempt to reconnect and continue the session.
  • Extended Disruptions (over 5 minutes): If reconnection is not possible, we will contact you via phone or email to reschedule or complete the session by phone if appropriate and agreed upon.
  • Session Credit or Rescheduling: If a session cannot be completed due to technical difficulties on either end, clients will have the option to reschedule without penalty.

Clients are encouraged to:

  • Ensure a stable internet connection before each session.
  • Be in a private, quiet space free from distractions.
  • Have a backup phone nearby in case alternate communication is needed.

Please note: Sessions that are interrupted due to client-side technology issues may still be subject to standard cancellation or rescheduling policies if the session cannot be completed.

Single Session Therapy Policies

The following policies apply to individual therapy sessions scheduled on a pay-per-session basis:

  1. Payment
    • Full payment is due at the time of scheduling.
    • Sessions are not confirmed until payment has been received.
  2. Rescheduling and Cancellations
    • Clients must provide at least 24 hours’ notice to cancel or reschedule a session without penalty.
    • Sessions canceled with less than 24 hours’ notice or no-shows will be charged the full session fee.
  3. Refunds
    • No refunds are issued for missed sessions, late cancellations, or unused scheduled appointments.
    • If a refund is requested before the scheduled session and proper notice has been given (24+ hours), the full session fee will be refunded or credited toward rescheduling.
  4. Scope of Service
    • Single-session therapy is intended for ongoing therapeutic support, maintenance of progress, or focused work on specific short-term goals.

Therapy Package Policy

  1. Package Use & Expiration
    • All packages must be used within 12 months of the purchase date, unless otherwise agreed upon in writing.
    • Unused sessions expire after 12 months. Extensions may be granted for medical or family emergencies at the therapist’s discretion.
    • Clients are encouraged to attend sessions at least once per month to maintain therapeutic progress and continuity of care.
    • Irregular or infrequent attendance may disrupt progress and will be addressed collaboratively in session.
  2. Session Access & Scheduling
    • Packages are non-transferable and intended only for the individual, couple, or family enrolled at the start of treatment.
    • Sessions may not be shared, reassigned, or split between different individuals or client groups.
    • To ensure availability, clients are encouraged to schedule sessions in advance. However, you may also schedule one session at a time through our secure client portal, based on calendar availability.
  3. Rescheduling, Cancellations, and No-Shows
    • Please provide at least 24 hours’ notice to cancel or reschedule a session without penalty.
    • Cancellations with less than 24 hours’ notice will result in the session being counted as used, unless due to a verified emergency.
    • No-shows (missed appointments without any notice) will be forfeited and counted as a used session.
    • Two or more late cancellations or no-shows may result in a review of your scheduling needs and treatment readiness. Ongoing disruptions may lead to the pause or termination of services in accordance with ethical standards.
  4. Refunds & Financial Policies
    • Refunds for unused sessions are available within 60 days of purchase, upon written request.
    • If any sessions were already used, the used sessions will be charged at the therapist’s standard per-session rate (not the discounted package rate) and subtracted from the refund.
    • No refunds will be issued after 60 days from purchase, for expired sessions, or for missed sessions without prior communication.
    • Once services have begun, refunds will be processed according to the above terms. Additional exceptions may be considered only in extraordinary circumstances at the therapist’s discretion.
  5. Supervision & Clinical Care
    • All therapy services are provided by a Marriage and Family Therapist Intern practicing under licensed clinical supervision as part of Nevada’s MFT licensure process.
    • Clients may request the name and license number of the supervising therapist at any time.
    • All clinical work adheres to the ethical guidelines set forth by the AAMFT and the Nevada State Board of Examiners for MFTs.
  6. Voluntary Participation & Treatment Termination
    • Therapy is a voluntary process. Participation in a package does not obligate you to complete it.
    • You may choose to pause or discontinue treatment at any time. However, unused sessions will remain subject to the refund, expiration, and attendance policies outlined above.
    • If you decide to return to therapy in the future, we will reassess your needs and determine whether reactivating a package or starting a new one is most appropriate.
