Coaching Policies and Procedures

The following policies apply to all individual coaching sessions and coaching packages offered through IDS. Specific benefits, such as between-session support, are available exclusively to select packages as noted below.

Private-Pay Practice

All coaching services are private-pay only. Insurance is not accepted, and IDS does not provide documentation for insurance reimbursement.

Payment is due in full at the time of scheduling for individual sessions or at the time of package enrollment.

Package Use and Expiration

Coaching packages must be used within 12 months of the purchase date unless otherwise agreed upon in writing.
After 12 months, any unused sessions will expire and will not be eligible for refund or extension.
Clients are encouraged to maintain consistent scheduling to ensure maximum benefit and coaching momentum.

Session Scheduling

Coaching sessions are scheduled based on mutual availability through the IDS scheduling system.
Sessions are available in 30, 50, or 90-minute formats depending on client goals and needs.
Clients are responsible for booking sessions in advance to ensure availability within the package timeframe.

Cancellations, Rescheduling, and No-Shows

Clients must provide at least 24 hours’ notice to cancel or reschedule a session without penalty.
Sessions canceled with less than 24 hours’ notice, or missed without notice (no-show), will be forfeited and counted as a used session.
Two or more late cancellations or no-shows may lead to a reassessment of coaching readiness and continued engagement.

Refund Policy

Refunds for unused coaching packages are available only within 60 days of purchase and only if no sessions have been used.
Once any session from a package has been scheduled or completed, the package is considered active and is no longer eligible for refund.
No refunds are provided for expired packages, missed sessions, or late cancellations.

Package Inclusions Based on Commitment Level

3-Session Strategic Starter: Includes a Personalized Coaching Roadmap and Wheel of Life Clarity Exercise.
6-Session Growth Package and 12-Session Executive Leadership Track: Include the full coaching roadmap, Wheel of Life Clarity Exercise, Vision Mapping Frameworks, curated leadership resources, session notes/action plans, and between-session strategic support.

Between-Session Support

Between-session email and text support is available exclusively for clients enrolled in the 6-Session Growth Package and the 12-Session Executive Leadership Track.
Support is intended for brief accountability updates, minor strategic clarifications, or coaching-related questions linked to active coaching goals.
Extended coaching discussions, new challenges, or major strategic planning must be addressed during scheduled sessions.
Response time for between-session communication is typically within 48 business hours during standard business hours (Monday–Friday, excluding holidays).
Clients in the 3-Session Strategic Starter Package do not include between-session support as part of their engagement.

Coaching Scope and Nature of Services

Coaching services at IDS are designed to support professional growth, leadership development, personal clarity, and goal achievement.
Coaching is not psychotherapy, clinical counseling, crisis intervention, or medical treatment.
Clients are expected to take full responsibility for implementing the insights, strategies, and action steps discussed during coaching sessions.

Coaching services do not provide crisis support or emergency mental health care. If you are experiencing a life-threatening emergency, please call 911 or 988 immediately.

Confidentiality and Professional Standards

Coaching conversations are treated with strict confidentiality within the limits of applicable law and professional ethics.
Confidentiality may be broken if required by law or if imminent harm to self or others is disclosed.
IDS adheres to the ethical standards outlined by professional coaching bodies regarding respect, transparency, and professionalism.
While all coaching conversations are treated with strict confidentiality, coaching communications are not protected by therapist-client privilege or HIPAA regulations. Confidentiality is maintained voluntarily in accordance with professional ethical standards.

Voluntary Participation and Engagement Expectations

Coaching is a voluntary and client-driven process.
Clients are encouraged to be active participants, complete reflective exercises, and apply coaching insights between sessions.
Either party may conclude the coaching relationship at any time with written notice. Refunds remain subject to the policies stated above.

Privacy and Data Security

Your privacy is our priority. All information shared during sessions, including communications via email, phone, or virtual platforms, is protected. We use secure systems and technology to safeguard your data from unauthorized access. Please be aware that while we strive to maintain the highest level of security, no system is entirely foolproof, particularly with digital communications. If you have concerns about your data’s security, please inform us so we can discuss alternative options for communication.
